The Challenge

What they needed

The business runs commercial and multifamily construction projects across a dozen active job sites at any time. Job costs lived in a mix of spreadsheets, email threads, and an accounting package that couldn't track cost codes below the project level, so budget overruns often surfaced weeks after they happened. Progress billing was worse: preparing AIA G702/G703 pay applications took a project manager up to two weeks per project, manually matching percent-complete estimates to subcontractor invoices. Subcontractors routinely waited 30-45 days for payment after work was verified, straining relationships with trade partners the business depended on for repeat bids. Finance had no single view of committed versus actual costs across the portfolio, which made cash flow forecasting mostly guesswork.

What we built

Prixelo built a job costing and billing platform on Next.js and Node.js, with PostgreSQL modeling cost codes, commitments, and actuals at the line-item level for every active project. Project managers log commitments and change orders as they happen, so budget-to-actual variance updates in real time instead of at month-end. A billing module generates AIA G702/G703-style pay applications directly from the job cost ledger, auto-populating percent-complete and retainage instead of a manual spreadsheet rebuild. Once an owner approves a pay application, the platform triggers subcontractor payouts through Stripe Connect, holding retainage per contract terms and releasing it automatically on milestone sign-off. The system runs on AWS (RDS for Postgres, ECS for the Node.js services), with role-based access scoped per project for PMs and subcontractors, and portfolio-wide visibility for finance and leadership.
